How are fighting us to stay with the various possibilities of communication, many people feel more wasting time, as they are saving because of interruptions permanent. Technology immediacy. Before we decide on our Stomp phone or the computer break, let us in some ways a little structure, so that technology to work for us rather than against us.
Voice-Mail
Be sure your voice mail message invites the visitor to leave a message. This should be one, but how many times you get a message that says “Hello. Call me, I have a question. “? So you call, and they are not available. You can not leave a response, because you do not know why you are calling. So the phone starts to date. If it had stated that the question, could you still be with the answer, and most likely the process would have been arrested on this point.
If you have a message, to give enough details, that person. If the information must be sought first, it is the task before answering, you can still earn a quantity of Call-backs and nothing.
Go east to the usual calls to resume the same business day, if possible. If someone is waiting for your answer, it is courteous and professional, to return with them as soon as possible. If you have a political reaction, reported in our voice mail message so that the visitor to know when to expect that you’ve heard… within 24 hours, the next business day, etc.
E-MAIL
Here is a scenario that occurs in agreement with most all know, you work on your computer and the small envelope appears, or your computer ‘true’ (or both). E-mail has arrived. Beeil you and check it! This interruption can be only one minute, or enough of them can consume the day. If you’re not ignore these messages, put the sound and the envelope icon.
I have heard, by business partners, whether they read e-mails, only 2 or 3 times a day. Some choose the first thing in the morning and after lunch. Other check your e-mail mid-morning, after lunch and mid-afternoon. Your theory is that waiting time until mid-morning, instead read e-mails immediately, they can address the immediate needs of participation in e-mails, and they still have time to respond this correspondence before lunchtime, a reaction time.
Try a little different times and see what is best for you. Reading and responding to e-mails in blocks, rather than constantly throughout the day is to avoid that many interruptions and a working day target. I heard at a seminar years that any disruption causes a loss of 15-30 minutes before returning to the operating level had reached before the break in concentration camps. Remember, how many times your e-mail causes!
